Cancelling your booking, changing the date
BOOKINGS, CANCELLATIONS, REFUNDS & FLEXIBILITY
Booking your preferred date
All bookings are subject to the availability of chefs. We will always try our best to give you your first choice of date, but cannot guarantee that it will always be possible. Please book as far in advance as possible, by at least 2 weeks to increase the chances of being able to book your first choice. A surcharge may be applicable to the bank and public holidays. This will be discussed with you if you request such a date.
Booking your preferred date will only be secured once payment has been received and funds cleared.
if the requested payment is not paid by the allowed time, Executive Chefs Catering reserves right to NOT hold the date.
Changing the location
Once you have booked a date for your catering , if you need to re-schedule or cancel, we will always do our best to help. If you confirm your cancellation at least 14 days before the date booked, you will receive a full refund, minus 10% of the invoiced amount for our administration charge.
If you request a change of date or location at least 10 days before the date you originally booked, we will endeavor to meet your new requirements, subject to the availability of the chef. There is a $20 administration charge for this change.
We regret that we cannot offer any refund if you cancel less than 14 days in advance of the booked appointment. In some instances, we may be able to change the date (as long as the date, time, menu and number of people remain the same), subject to the availability of the chef, but this is not guaranteed. You may wish to consider taking out suitable insurance to cover cancellations beyond your control.
Very rarely there may be a delay in the arrival of your chef, or we may need to cancel your booking for reasons beyond our control, such as adverse weather conditions, sudden illness, unavailability or breakdown of transport or equipment. We will do our best to notify you as soon as possible , however, in the event that we must cancel, we will offer an alternative date. Should this not be possible, you will receive a full refund. We regret that, in these circumstances, we are unable to reimburse travel, accommodation or any other expense that you or your guests may incur in relation to the canceled booking.
Changing the number of people attending your dinner party
On booking, we will ask how many people will be attending the dinner party.
If you would like to reduce the number of guests attending your event, please notify us at least 7 days in advance. We regret that we are unable to offer any refund. If you would like to increase the number of guests attending your event, as long as you notify us more than 7 days in advance of your appointment, we will arrange for enough ingredients to cover this. There will be an additional charge per person which will be discussed with you and which must be paid in full at least 5 days in advance of the appointment.
Hiring Third Party contractors
Executive Chefs Catering reserves the right to waive responsibility
Executive Chefs Catering also reserves to cancel any event in case of third party contractors provided by the CLIENT. does NOT have any proper Licenses & Insurance.
If such cancellation occurs please refer to cancellation policy.
Cancellation Policy:
In ANY circumstances, that Executive Chefs Catering deems inappropriate, or to perform our services, we reserve all right to cancel or reschedule our services to fix such issues, ONLY if deemed necessary to safely operate within set laws & guidelines within Virginia Laws.
If situation arises within 48 hours of set event, we reserve the right to NOT credit back non-refundable deposit, & will coordinate a grocery delivery from our vendors which will incur a fee of $150
or have the clients arrange a pickup for set groceries.
we reserve the right to waive any liability for Groceries that contain any undercooked or raw product, that is handled by the Client.
If Client changes service requirements or any of the following but not limited to:
Change of Service details, time, location & staffing.
A $250 charge will occur as a last minute Cancellation fee.
24 hours before the scheduled date, Executive Chefs Catering reserves the right to seek compensation for wages loss due to clients insubordination to respect our terms & conditions.
PLACING YOUR ORDER
Please choose your order carefully and ensure you have read, asked any relevant questions regarding taste, texture or ingredients and understood the description of the dishes carefully. While Executive Chefs Catering makes every effort to describe all dishes accurately not every single ingredient can be listed. You can request a full description of the proposed ingredients in each dish prior to ordering, please do so by email. By confirming your order you acknowledge that you have read and accepted the description and concluding information concerning the dishes and accept responsibility for choosing the goods ordered.
While Executive Chefs Catering makes every effort to prepare food to your personal tastes, we cannot be held responsible of any goods that are not to your liking and such goods cannot be returned, swapped for alternative dishes or costs refunded. Executive Chefs Catering makes no warranties to the accuracy of taste and cannot be held responsible for the flavor of fresh ingredients or any subsequent cooked food.
By confirming your order you acknowledge and accept that your food is made specifically for you from fresh ingredients and other ingredients and therefore cannot be reproduced to exact flavor, color, texture, taste or quantity and thus variations of these factors will occur in home-cooked food. Food cannot be returned, swapped for alternative dishes or costs refunded.
Executive Chefs Catering cannot be responsible if any ingredients are unavailable due to circumstances beyond Nostalgique's reasonable control. If an ingredient is unavailable Executive Chefs Catering reserves the right to substitute to a comparable and suitable ingredient.
If you do not wish for substitutes to be made please state this at the initial consultation, please note that if you choose not to have substituted ingredients and an ingredient is unavailable that dish cannot be made and no refund for service will be given.
Executive Chefs Catering are not nutritionists, dieticians or medical doctors of any kind. They do not provide medical or nutrition advice. By entering into this agreement with Executive Chefs Catering , you acknowledge and accept that Executive Chefs Catering has advised you of these facts and if you have any medical, nutritional or dietary questions regarding Executive Chefs Catering’s food you are to seek advice from qualified medical doctors and nutritionists. In addition, you acknowledge and accept that Executive Chefs Catering does not make any warranties for any weight loss, medical or any other dietary programs.
Before a Executive Chefs Catering prepares food, a client consultation will be carried out to assess food preference, dietary requirements, allergies and kitchen equipment available. It is you, the client's responsibility to provide accurate, complete and updated information as required to provide food to your and your family’s tastes and requirements. Executive Chefs Catering does not accept any responsibility or makes any warranties for clients not disclosing any valid information.
In the highly unlikely event that the food is unfit for consumption by the fault of Executive Chefs Catering , the client must inform Executive Chefs Catering Management in writing immediately. The food declared by client unfit for consumption can be returned to and tested by Executive Chefs Catering’s Head Chef & multiple experts and if found to be unfit for consumption the cost of ingredients of the spoiled food will be refunded at the discretion of Executive Chefs Catering .
However, we will not refund the cost of any food returned to be tested that is deemed not to be spoiled.
EXCLUSIONS
Drinks and equipment are not included in any Executive Chefs Catering services unless specified by Executive Chefs Catering. Occasionally we may be able to source drinks for you. Please contact us to discuss this prior to booking.
PAYMENT
All bookings must be fully paid for in advance.
This is usually done via Paypal /Cash/ Check.
Tips/gratuities are not included in the cost of Executive Chefs Catering and are left to your discretion; if you would like to show your appreciation of your Chef and their work please feel free to do so
LIABILITY
For your safety, please inform us in advance of the booking if you have any dietary requirements, are pregnant, have diabetes, epilepsy or an allergy to something, or if you think there is something else that the chef should be aware of.
YOUR RESPONSIBILITIES TO THE CHEF
Before the chef’s arrival, your kitchen should be clean and tidy with clear work surface to a reasonable degree. On arrival, you must show the chef & staff how your kitchen equipment works, including turning on any electrical appliances. You should show the chef what equipment may be used for the dinner party, including pots, pans, electrical equipment, crockery, cutlery, and glassware (if necessary), removing it from high cupboards. Any faulty equipment should be removed from the kitchen prior to the dinner party.
We will not tolerate any violent, threatening behavior, physical aggression or verbal abuse to any of our staff or representatives. If this happens our team will vacate the property immediately and the booking will not continue.
No refund will be issued and legal proceedings will be issued against you.
If you choose an outdoor location for your dinner party, appropriate cooking facilities must be available. Please ensure that you have a suitable indoor venue available in the case of poor weather. We regret we are unable to reschedule events due to adverse weather.
KITCHEN EQUIPMENT REQUIREMENTS
You must have at least a minimum level of equipment in your kitchen. We will check what equipment you have on booking and discuss any potential issues.
OTHER TERMS AND CONDITIONS
Nothing in these Terms and Conditions shall exclude the liability of Executive Chefs Catering’s injury or death caused by its negligence.
By means of your order and/or registration to our mailing list, you are agreeing with these General Business Terms and Conditions. Executive Chefs Catering reserves the right to amend these Terms and Conditions from time to time without notice.
Executive Chefs Catering in its sole discretion, reserves the right to refuse service to anyone, with or without cause or reason.
Executive Chefs Catering reserves the right to add, delete or change fees or charges at any time upon notice as provided in this Contract.
These Terms and Conditions shall be governed by and construed in accordance with the laws of Virginia and any disputes will be decided only by the courts.
By PLACING YOUR BOOKING DEPOSIT you are stating everything is in order and up to Executive Chefs Catering’s Standards & accept our Terms and Conditions.
